IFSA LC UNHAS recognizes the importance of providing volunteers with valuable experience while trying to maximize the contribution to our projects. The series of Pervect, stands for Perceive Volunteer Education, part 4 was initiated to educate the volunteers and taught them necessary skill sets not only to improve their capability as an individual but also to suit the needs of our organization.
In this session themed Work Plan Introduction, we aim to equip the volunteers with a solid understanding of what a work plan entails and how to create and utilize one effectively especially in a collaborative environment like IFSA LC UNHAS. In this digital era, using available tools provided everywhere online, we hope we could foster a culture of structured and goal-oriented actions to ensure the projects are well-carried.
The introduction of the work plan conducted via Google Meet on September 28, 2024. The activity started at 8 PM local time and lasted for an hour. It consisted of two session and the opening was held by moderator Rizqul Yusuf Nirza, who is a volunteer of VOLUME #5. He introduced the guest speaker, Wening Ila Idzatilangi, of IFSA LC UNHAS 2023/2024. After mentioning several achievements of the speakers, he pleased Wening to take place and gave out her presentation with the warmest welcoming.
Wening started her presentation by emphasizing the use of a work plan to enhance the efficiency of working especially in the type of IFSA’s environment both on the scale of worldwide and local committees. The main topic then began when she introduced the basic features of Spreadsheet. By sharing her screen showing the tool table in Spreadsheet for an example of taking note of goals, plans and even some lists to make step-by-step plans to execute, she demonstrates exactly how she personally uses the spreadsheet based on her experience in IFSA LC UNHAS. She suggests to those who didn’t know how to start, may use templates as it was usually shared by people online. You can also adjust it all based on your needs and your imagination, she said. Wening highlights how using Spreadsheet could be shared and help collaborative works being held online.

Wening also explained the obstacles that usually occur for those who aren’t used to work structured was the inability to keep on track and bad time management; Google Calendar might be useful in this case. Aside from that, it could be the solution of scheduling activities of an organization to be shared thoroughly to the entire members, ensuring all the schedules are well-integrated.
The Online Meeting room was filled with thumbs and hearts reaction as Wening delivered her closing by emphasizing the importance of understanding these tools. Combining both the calendar as a reminder and sheets containing detailed items needed to be done, it’s a great combo to manage projects systematically.
Rizqul let the audience click on their raise hand feature to deliver their questions. After a few burning question and answer sessions, he thanked the speakers for sharing her thoughtful experience and tricks to the volunteers. Rizqul then reminds everyone to submit their review of the material given from today’s meeting via Google Classroom before closing the activity entirely.

In conclusion, the activities’ goal was to teach volunteers how to make plans and maximize the effectiveness through tools online. However, the meet overall might need some practice that includes volunteers while being guided by the speakers step-by-step so that we ensure the material is well delivered to the audience.
